Metro Community Provider Network (MCPN) is a 501(c) (3) Federally Qualified Health Center (FQHC) with a 27-year history of providing primary care and other health-related services in a community-based setting. Established in 1989 in response to the primary health care needs of the medically indigent population in suburban Denver, MCPN has the largest population base of any FQHC in Colorado and provides primary care, dental, pharmacy, behavioral health, health education and outreach and enrollment services in accordance with its mission.

General Purpose: In order to maintain safe and efficient operations and further the MPCN mission and vision in our clinics and community, the Clinical Operations Manager will provide general oversight of all medical, pharmacy, patient empanelment, and associated staff to ensure quality consumer clinical service and enhance patient satisfaction within clinics of responsibility. The position provides clinical support staff with the structure, personnel, process and resource management necessary to meet both the needs of patients and the financial objectives of the organization. The Clinical Operations Manager contributes to and leads organizational change and improvement projects and manages team initiatives. This role will consistently cultivate and support a strong team culture and collaborative environment centered on consistently delivering exceptional patient experiences and care and will work in partnership with the Business Operations Manager/s assigned to their clinic/s.

Essential Duties/Responsibilities:

  • Collaborate with Business Operations Managers, Clinic Site Managers and the Director of Clinical Operations in establishing, implementing and maintaining quality patient care, to improve quality metric standards and to meet the external client expectations.

  • Day-to-day direct supervision/coaching of all Medical Assistants; including hiring/firing authority and performance appraisals, in consultation with Manager of Business Operations and Clinic Site Managers.

  • Through active management, ensures that the Lead Medical Assistant is completing daily lead duties such as onboarding new Medical Assistants, training new and existing Medical Assistants and completing monthly Medical Assistant competencies.

  • Under the direction of the Director of Clinical Operations, ensures clinics of responsibility meet strategic goals associated with provider panels (panel management), clinical quality outcomes, encounters, and growth projections in line with the organizational strategic initiatives.

  • Manage and resolve human resource, safety, and risk management issues.

  • Ensure all assigned clinic sites operate within defined clinical monthly budgets (medical supplies, pharmacy, medications, etc).

  • Responsible for maintenance and repair of all medical equipment.

  • Responsible for VFC, Quest Report, Lab Quality, Medication/Vaccine inventory, Quality Logs, Safety & Training Manual, etc. for clinics of responsibility.

  • Responsible for vendor management and oversight of oxygen/nitrogen, biohazard waste disposal, Annual Preventive Maintenance via HSS, and medical supplies.

  • Ensures compliance of clinical workplace regulations.

  • Actively manages direct reports to facilitate customer service expectations.

  • Responsible for ensuring all daily, weekly and monthly clinical operations management duties are completed within the designated timeframes.

  • Coach team members to optimal performance and ensures monthly 1:1’s and quarterly performance feedback are conducted in alignment with MCPNs Core Competencies.

  • Effectively facilitate/implement change management initiatives by providing positive guidance and communication to staff regarding the direction of the organization.

  • Participate as SME in the development or revision of Clinical Operations Policies and Procedures.

  • Provide detailed and concise information and reporting to the Director of Clinical Operations for strategic planning and organizational direction.

  • Responsible for clinic inventory and ordering of medical supplies.

  • Oversight and management of annual flu vaccine ordering and vaccine administration process.

  • CCMA proctoring and oversight.

  • Review and monitor Medical Assistant desktops, flags and secure messaging.

  • Oversight of PARs, Quest issues, Docutrack management and Medical Records.

  • Performs other duties as assigned.

Essential Duties/Responsibilities in Partnership with Manager – Business Operations

  • Solicit feedback, from Manager of Business Operations, regarding Medical Assistant quarterly reviews and monthly 1:1s.

  • Partner with the Manager of Business Operations in the interview process for hiring clinic Medical Assistants and/or promotion of Lead Medical Assistants.

  • Meet regularly with Manager of Business Operations to ensure consistent delivery of organizational initiatives across clinic sites and to ensure departmental and organizational KPIs are being monitored and met.

  • Work collaboratively with the Manager of Business Operations during clinic crisis such as power outage, patient and staff safety incidents, vaccine/medication transport, etc.

  • Knowledge of principles and procedures for personnel recruitment, selection, training, and personnel information system.

  • Knowledge of automation systems capabilities and utilization in order to input, access, retrieve, edit and manipulate data for decision making.

  • Skill in using a variety of computer software including but not limited to the internetand MS Office Products; including Excel.

  • Ability to identify barriers to performance of others and provide coaching, training or other assistance to remove those barriers.

  • Ability to handle patient, employee and sensitive business information ethically and responsibly.

Education or Formal Training:

  • REQUIRED: Bachelor’s Degree or equivalent in business administration or related field and prior management experience in a clinical setting.

  • WILL CONSIDER: High school diploma or GED with, at least, 6 years of prior back office/clinical management experience.

  • Bilingual in English and Spanish a plus but not required.

Experience:

Prior management experience in a clinical setting required.

** A valid drivers license will be required for any position requiring driving between MCPN locations.
